Save vouchers in TallyPrime from your browser
Create sales and purchase invoices, receipts, payments, notes, journals, ledgers and stock items in TallyPrime from your browser, with repeat saves kept out.
The Accounts workspace has a form for each everyday voucher. Enter it in the browser and press Save in TallyPrime. The voucher is saved in the company you chose. It is for accountants and staff who keep the books, but are not always at the TallyPrime computer.
Before you start
The Balancely Connector is running on the computer with TallyPrime. That company is connected. See Connecting TallyPrime.
The same company is open in TallyPrime on that computer.
Your role is owner, admin or accountant. A viewer can read Activity History but cannot save entries.
The parties, ledgers and stock items you need are already in TallyPrime. If not, add them first (see below).
Choose the company
Every Accounts page shows the Company bar at the top. Click the company name to change it. We remember your choice as you move between pages. Beside the name is its state:
| State | Means | What to do |
|---|---|---|
| Ready | TallyPrime was open at the last check. Entries are saved in your books. | Nothing. |
| Paused | Someone paused this connection in the connector. No entry is saved until it is resumed. | In the connector, open ··· > Connections and choose Resume. |
| Connector not running | Balancely cannot reach the paired computer. | Turn the computer on. Open the Balancely Connector and wait until it shows Connected. |
| TallyPrime not open | The connector runs, but TallyPrime is closed. | Open TallyPrime and the company. |
| TallyPrime not answering | TallyPrime is open but does not answer the connector. | Open Help (F1) > Settings > Connectivity > Client/Server configuration. Set TallyPrime is acting as to Both, and the port to 9000. |
| TallyPrime starting, Message box in TallyPrime or TallyPrime not responding | TallyPrime is loading, waiting on a message box, or stuck. | Wait for it, close the message box, or restart TallyPrime. |
| Company not open | TallyPrime is open, but with no company or a different company. | Press F3 in TallyPrime and open the right company. |
| Setup unfinished or Needs reconnecting | The company was never paired, or the link expired. | Open Connections. Finish pairing, or reconnect. |
Click the state to see the steps. Then choose Check again. You can enter a form while the company is not ready. Only saving needs TallyPrime.
What each form saves in TallyPrime
| Form | Saved in TallyPrime as |
|---|---|
| Sales Invoices | A Sales voucher with customer, sales ledger and items (quantity, rate, discount %), and any charges. Or one amount without items. |
| Purchase Invoices | A Purchase voucher with items or one amount. It has the supplier bill number, any charges, and reverse charge when it applies. |
| Receipts | A Receipt voucher into a bank or cash ledger. It settles the customer’s open bills you tick. |
| Payments | A Payment voucher from a bank or cash ledger. It settles the supplier’s open bills you tick. |
| Credit Notes | A Credit Note for goods a customer returned, or an amount only. You can link it to the first invoice. |
| Debit Notes | A Debit Note for goods you returned to a supplier, or an amount only. You can link it to their bill. |
| Journal Entries | A Journal voucher. Debits and credits must be equal. |
| Bank & Cash Transfers | A Contra voucher between two of your own bank or cash ledgers. |
| Orders & Delivery Notes | A Sales Order, Purchase Order, Delivery Note or Receipt Note. |
| Inventory Management | A Stock Journal to move goods between godowns, or a Physical Stock voucher for a stock count. Or a new stock item, unit, stock group or godown. |
| Ledgers & Parties | A new ledger, or changes to an existing one. |
The voucher forms have a closed More options card for the narration. Invoices, receipts and payments also have a reference. Most vouchers have an Entry type (Invoice type on invoices). There you can choose one of your own voucher types of the same kind. Leave the number empty on a sales invoice, and TallyPrime numbers it. If the invoice type numbers itself, TallyPrime uses its own number. It keeps yours as the reference.
Save an entry
- 1
Open Accounts and choose the form, for example Sales Invoices.
- 2
Check the company in the Company bar.
- 3
Enter the details. Party, ledger and item boxes show names from TallyPrime as you type.
- 4
Press Save in TallyPrime. The card shows the voucher number from TallyPrime.
- 5
Choose Create another, or View history.
On an invoice, Paste from Excel adds many item lines at once (item, quantity, rate, discount %). Choose a party you invoiced from here before. Then Repeat last invoice copies the items, quantities, rates, discounts, ledger and godown from that invoice. The date and party stay as they are.
A service business bills without stock. Switch Items to Without items. Enter one amount, with its GST rate and HSN or SAC. Add freight, packing or loading under More options with Add a charge. Each uses its own ledger.
How GST is handled
Sales and purchase invoices: open the GST section and choose your CGST, SGST and IGST ledgers. TallyPrime then works out the tax from each item’s GST rate and the party’s state. Leave them empty for an invoice without GST. This browser remembers the ledgers for each company.
Charges are taxed with the supply. GST law counts freight and packing in the taxable value. If a charge ledger has its own GST rate in TallyPrime, that rate is used.
Reverse charge: on a purchase, turn on Reverse charge applies in the GST section. You then owe the supplier no GST, and none is added to the bill. You pay it to the government yourself.
Place of supply is optional. If empty, a sale uses the customer’s state. A purchase uses your company’s state from TallyPrime.
Customer city and Dispatch city on a sale go on the e-invoice as the Bill To, Ship To and dispatch places.
Credit and debit notes: add one line for each tax ledger in the Tax section. For an amount-only debit note, enter the GST rate and HSN or SAC. Then it shows in your GST return.
Amount-only credit notes: enter the HSN or SAC. Enter the GST rate if you want to set it yourself. Without a rate, the rate comes from the sales ledger in TallyPrime, or from the tax lines. If the sales ledger has no HSN/SAC in TallyPrime, the form says so. It fills in the code you last used with that ledger for this company.
GSTR-1: a sale or credit note number cannot be longer than 16 characters, unless TallyPrime numbers that voucher type itself. A sale whose CGST and SGST differ by more than ₹1 is also stopped. If TallyPrime lists a saved sale or note as uncertain in its GSTR-1, the result gives the likely reason and how to fix it.
Stock items and ledgers have their own GST rate, HSN and GSTIN. Set them on the Inventory Management and Ledgers & Parties forms. A GSTIN with a typing mistake is stopped. TallyPrime would leave that party’s entries out of its returns. The free GSTIN checker shows what it should be.
Fix stock after a count
Sometimes the goods on the shelf do not match TallyPrime. This can be from breakage, loss or a counting mistake. Open Inventory Management, tab Stock count. It saves a Physical Stock voucher. This is TallyPrime’s own way to set the stock to what you counted.
- 1
Choose the Godown you counted and the Date.
- 2
Add each item. Enter the quantity you found in Counted. Enter 0 if none are left.
- 3
Check In books and Difference on each line. Red is less than the books, green is more.
- 4
Press Save in TallyPrime.
Enter what you counted, not the shortage. TallyPrime works out the difference.
Only the items you list change. Other items, and the same items in other godowns, keep their stock.
You do not enter a rate. TallyPrime values the counted stock at the item’s own cost. So 95 bolts at ₹10 each are worth ₹950.
Stock entries saved after the count still change the stock from the counted figure, even on the same day. So save the count after the day’s other entries for that godown.
Saving the same count again cannot double it. A count sets the stock. It does not add to it.
To undo a count, open it in Activity History and choose Cancel entry. The stock goes back to what it was before.
When a ledger or item is missing
Names must match TallyPrime exactly. If you enter a party, ledger or item that TallyPrime does not have, the save fails. Nothing is added. Add it first, then save again:
A customer, supplier, bank or expense ledger: Ledgers & Parties, tab New ledger. Choose its group: customers under Sundry Debtors, suppliers under Sundry Creditors. If needed, enter the opening balance and GST details. You cannot use a name already in TallyPrime.
A product: Inventory Management, tab New item. Only the name is needed. Unit, stock group, HSN code and GST rate are optional. If a unit, group or godown already exists, it is used as it is.
To fix a ledger already in TallyPrime, use Change a ledger. Fields you leave empty stay as they are.
Added it in TallyPrime a moment ago? A new name can take a few minutes to show. Choose Refresh at the bottom of the list.
Find your entries in Activity History
Activity History lists everything entered from Accounts, by hand or by import. Search by party or number. Use Filter for the date range, the type of entry or who entered it. How far back it goes depends on your plan.
| Status | Means | What to do |
|---|---|---|
| Saved | TallyPrime accepted it. The number is shown. | Nothing. |
| Sending | Being saved now. | Wait. The page updates itself. |
| Waiting | An imported entry. It is saved as soon as the connector can be reached. | Open the connector and TallyPrime. |
| Failed | TallyPrime did not accept it. The reason is shown. | Choose Fix, fix it and save again. |
| Not confirmed | We did not get an answer from TallyPrime. It may be saved. | Look in Day Book. Then choose Fix and save without changes. It is never added twice. |
| Cancelled | Cancelled in TallyPrime, or stopped before it was saved. | Nothing. |
Saved means the entry is really in TallyPrime. If TallyPrime saved a field differently, or lists a sale as uncertain in GSTR-1, the result says which field and why.
An entry saved by hand while TallyPrime is closed fails at once. Save it again when TallyPrime is open.
We keep the details of a failed entry for 14 days, so you can fix it. To undo a saved voucher, open it and choose Cancel entry. TallyPrime keeps it in the books, struck out, with no amount. Ledgers and stock masters cannot be cancelled from here.
What “never saved twice” means
A save that is repeated, or tried again after a failure, never goes in twice. A sales invoice or supplier bill number TallyPrime already has is stopped.
If you press save again, you get the first result. No second voucher is made.
Fix and retry saves the same entry again. If TallyPrime already has it, it is not added again.
Some numbers are stopped, and nothing is added: a sales invoice number already used in TallyPrime for that voucher type, or a bill number already saved for that supplier.
What happens in TallyPrime
Each save makes one new voucher or master in the company shown in the Company bar. It uses the ledgers, items and voucher type you chose. Vouchers already in TallyPrime are not changed, except when you choose Cancel in TallyPrime. Only Change a ledger changes a master, and only the fields you enter. Each entry saved in TallyPrime, and each cancellation, counts towards your plan’s TallyPrime entries for the month.
When something goes wrong
Each heading is the message as Balancely shows it. Find yours, or search every message on Fix a problem.
“The ledger "Sharma Traders" doesn't exist in TallyPrime. Check the spelling, or add the ledger first on the Ledgers & Parties page under Accounts, or in TallyPrime.”
Where you see it: The result card on any voucher form or on Ledgers & Parties, tab Change a ledger; the entry’s row in Accounts > Activity History.
A ledger named on the entry is not in this company in TallyPrime. It may be the party, the sales or purchase ledger, a GST ledger, the bank or cash ledger, or a journal line. Aliases count as names too. Most often it is a typing slip, or the ledger is not made yet. Nothing was saved in TallyPrime.
- 1
Open that box and choose the ledger from the list. Do not type it.
- 2
If you added the ledger in TallyPrime a moment ago, choose Refresh at the foot of the list.
- 3
If it really is missing, add it on Ledgers & Parties, tab New ledger, or in TallyPrime.
- 4
Choose Fix and retry on the result card. Nothing was saved, so it cannot go in twice.
It worked when: The card shows saved in TallyPrime with a number.
Next time: Choose names from the list. Do not type them. See when a ledger or item is missing.
“The item "Steel Pipe 2 inch" doesn't exist in TallyPrime. Check the spelling, or add it first as a New item on the Inventory Management page.”
Where you see it: The result card on a sales or purchase invoice, credit or debit note, order, goods note or stock transfer; the entry’s row in Activity History.
A line names a stock item this company does not have in TallyPrime. Often the spelling is a little different. Nothing was saved in TallyPrime.
- 1
Choose the item from the list on that line. Do not type it.
- 2
If you added it in TallyPrime a moment ago, choose Refresh at the foot of the list.
- 3
If it really is missing, add it on Inventory Management, tab New item.
- 4
Choose Fix and retry. Nothing was saved, so it cannot go in twice.
It worked when: The card shows saved in TallyPrime with a number.
“Some details are missing or wrong. Fix the ones in red.”
Where you see it: The box under the summary on any Accounts form (sales or purchase invoice, receipt, payment, credit or debit note, order, goods note, stock), with red text under each field.
Balancely checks the form before it saves in TallyPrime. A needed field is empty, or a value is wrong. For example, a quantity of 0, or more settled on a bill than is pending. Nothing was saved in TallyPrime.
- 1
Read the list in the box, then find each field marked in red.
- 2
Enter or fix the value. The red text says what is needed.
- 3
On a receipt or payment with several parties, put each party on one line only.
- 4
On a note for An amount only, enter the HSN or SAC with the GST rate.
- 5
On an invoice Without items with GST ledgers chosen, choose the GST rate next to the amount.
- 6
Press Save in TallyPrime again.
It worked when: The box disappears and the card shows saved in TallyPrime.
“Debits (₹10,000.00) and credits (₹9,000.00) must be equal.”
Where you see it: The Journal Entries form: the box under the summary, the red text on the lines and the note in the summary.
A journal needs at least two lines. Each line has an amount on one side only. Total debit must equal total credit. Nothing was saved in TallyPrime.
- 1
On each line, put the amount in either Debit or Credit, not both. A line with neither shows “Enter a debit or a credit amount.”
- 2
Look at the summary: it shows which side is more, and by how much.
- 3
Fix the amounts until both totals match.
- 4
Press Save in TallyPrime again.
It worked when: The summary note is gone and the journal saves.
“TallyPrime numbers Sales vouchers itself (numbering method: Automatic), so this entry is "102" and the Invoice Number you sent, "INV-102", was not used.”
Where you see it: The green saved in TallyPrime card, and the entry in Activity History (TallyPrime gave this entry its own number).
The entry is saved. Its voucher type gives its own numbers, so TallyPrime used its own. Your number is still on the voucher. On a sale it is the reference. On a purchase it is the supplier invoice number. When the supplier number was kept, the message says so and asks for no change. The entry is saved in TallyPrime. Nothing more is needed.
- 1
Nothing is needed for this entry. Do not enter it again.
- 2
To make sales invoices carry your own numbers: in TallyPrime go to Gateway of Tally > Alter > Voucher Type, open Sales (or your own invoice type), and set Method of Voucher Numbering to Automatic (Manual Override).
- 3
On purchases, leave the numbering as it is. The supplier’s bill number is already on the voucher.
Next time: For sales, leave Invoice number empty so TallyPrime numbers it. Or change the voucher type’s numbering once, as above.
“A GSTIN is 15 characters, like 27AAPFU0939F1ZV.”
Where you see it: Red text under the field on Ledgers & Parties (new or change); the same checks on the result card.
A GSTIN, PAN, state, PIN code, email or phone on the ledger is not right. The state must match the first two digits of the GSTIN. The PAN must be the one inside the GSTIN. Nothing was saved in TallyPrime.
- 1
Copy the GSTIN again from the party’s GST certificate or the GST portal.
- 2
Set State to the state of the GSTIN’s first two digits.
- 3
Leave PAN empty, or make it the same as characters 3 to 12 of the GSTIN.
- 4
Fix any other field in red. A PIN code is 6 digits. A phone is digits only.
- 5
Press Save in TallyPrime again.
Next time: Before you enter a new party’s GSTIN, check it in the free GSTIN checker. It shows the state, the PAN inside it and the right last character.
“"Steel Pipe 2 inch" has no GST rate in TallyPrime, while the other items are taxed at 18%. Set the rate on that item in TallyPrime.”
Where you see it: The result card on a sales or purchase invoice, or a note, with GST ledgers chosen.
With GST ledgers chosen, tax comes from each item’s GST rate in TallyPrime. This item has no rate, so its tax would be a guess. Nothing was saved in TallyPrime.
- 1
In TallyPrime, go to Gateway of Tally > Alter > Stock Item, open the item and set its GST rate.
- 2
Or, if this invoice has no GST, clear CGST, SGST and IGST in the GST section.
- 3
Choose Fix and retry.
Next time: Set the GST rate and HSN on each stock item when you create it.
“GST was worked out as a sale within your state, because "Walk-in Customer" has no GSTIN in TallyPrime and its State there is missing or not recognised”
Where you see it: The green saved in TallyPrime card on a sales or purchase invoice, and the entry in Activity History.
The entry is saved with CGST and SGST. The party’s ledger has no GSTIN and no known State. No Place of supply was chosen either. So Balancely used your company’s own state. A State with an unknown spelling counts as missing. The entry is saved in TallyPrime, taxed as within your state.
- 1
If the party is in your state, nothing is needed.
- 2
If not, open the entry in Accounts > Activity History and choose Cancel entry (or alter it in TallyPrime).
- 3
Set the party’s State, or GSTIN, on Ledgers & Parties, tab Change a ledger.
- 4
Enter the invoice again, or choose Place of supply in the GST section.
Next time: Give every party ledger its State, even an unregistered one.
“This sales invoice was not saved”
Where you see it: The card that replaces the form after Save in TallyPrime, and the entry marked Failed in Activity History.
TallyPrime did not save the entry. The reason is under the title. The grey line below it says what reached your books. Fix and retry saves the same entry again, so it never goes in twice. Start over begins a new, separate entry. The grey line tells you. It says “Nothing was added to your books”, or “TallyPrime may have saved it” when the answer was lost. If the problem is the TallyPrime computer, it says the details are fine. A lost answer shows the title could not be confirmed instead.
- 1
Read the reason. Where the card shows How to fix this, open it for the steps for that message.
- 2
Correct what it names, on the form or in TallyPrime.
- 3
Choose Fix and retry, change what is needed and save.
- 4
Use Start over only for a different entry. After a lost answer it can add a second voucher.
- 5
The details stay for 14 days, so you can fix it later from Activity History with Fix & retry.
It worked when: The entry shows Saved in Activity History.
Next time: See why an entry is never saved twice.
“Your company keeps stock in 3 godowns, so choose the godown for "Steel Pipe 2 inch". For example: Main Location, Shop, Warehouse.”
Where you see it: Red text under Godown on the form, or the result card when the form could not tell the company has several godowns.
The company keeps stock in more than one godown. TallyPrime needs to know which godown the goods leave or reach. Nothing was saved in TallyPrime.
- 1
Choose the godown in the Godown box. It applies to every line.
- 2
Save again, or choose Fix and retry on the result card.
“The unit "Box" does not exist in TallyPrime. Add it first as a New unit on the Inventory Management page.”
Where you see it: The result card on Inventory Management, tab New item, New stock group or New godown.
The unit or group named for the new item is not in TallyPrime yet. If you left Unit empty, Balancely uses Nos. Then the message says the default unit is missing. Nothing was saved in TallyPrime.
- 1
Choose the unit or group from its list.
- 2
If it is missing, add it first on Inventory Management, tab New unit, New stock group or New godown.
- 3
Choose Fix and retry on the item.
“"Cash" is under "Cash-in-Hand", so it can't be used as the customer. Choose the customer’s ledger, usually under Sundry Debtors.”
Where you see it: The result card on an invoice, receipt, payment or note.
Each box takes one kind of ledger. A customer is under Sundry Debtors. A sales ledger is under Sales Accounts. Tax is under Duties & Taxes. Money in or out is under Cash-in-Hand or Bank Accounts. The ledger given is of another kind. Nothing was saved in TallyPrime.
- 1
Choose the ledger from that box’s own list. It shows only the right kind.
- 2
If the ledger is under the wrong group, open Ledgers & Parties, tab Change a ledger. Choose it, then choose the right group in Move to group.
- 3
Choose Fix and retry.
““Where the rest goes” was set for "Sharma Traders", but that ledger doesn't have bill-by-bill tracking enabled in TallyPrime. Nothing was recorded. Enable it on the ledger in TallyPrime, or set “Where the rest goes” to On account.”
Where you see it: The result card on Receipts or Payments; the second wording also on a credit or debit note with Against invoice or Against bill.
Advance or New reference in Where the rest goes needs bill-by-bill tracking. So does a bill to settle against. This party’s ledger is not tracked bill by bill. The form shows these choices for every party. Nothing was saved in TallyPrime.
- 1
Easiest: set Where the rest goes to On account. On a note, clear Against invoice or Against bill. Then choose Fix and retry.
- 2
To track bills for this party: open Ledgers & Parties, tab Change a ledger, choose the party and turn on Track bill by bill. Save it, then Fix and retry the entry.
- 3
Or, in TallyPrime, alter the ledger and set Maintain balances bill-by-bill to Yes. If that option is not shown, turn on bill-wise details in F11 (Company features) first.
Next time: Bank and cash ledgers are never tracked bill by bill. Use On account for them.
“A discount line does not work when GST is added for you. Use Disc % on each item, or remove the GST ledgers.”
Where you see it: Red text under the discount lines in More options on a sales or purchase invoice.
With GST ledgers chosen, tax is worked out on each item’s value. A discount on the whole invoice would leave tax on the full value. Nothing was saved in TallyPrime.
- 1
Open More options and remove the discount line.
- 2
Enter the discount as Disc % on each item line.
- 3
Press Save in TallyPrime.
“Under reverse charge the supplier charges no GST, so the bill carries no tax. Clear the CGST/SGST/IGST ledgers and the Tax Lines, or turn reverse charge off.”
Where you see it: The result card on a purchase invoice; the entry’s row in Accounts > Activity History.
The bill is marked Reverse charge applies but also carries GST. Under reverse charge you pay the GST to the government yourself, so the supplier is owed only the bill value and charges. Nothing was saved in TallyPrime.
- 1
If the supplier did charge GST on the bill, turn Reverse charge applies off in the GST section.
- 2
If it is reverse charge, leave it on. The form then adds no GST ledgers.
- 3
Choose Fix and retry. Nothing was saved, so it cannot go in twice.
It worked when: The card shows saved in TallyPrime, and the supplier’s amount has no GST in it.
“Quantity 2.5 for "Steel Pipe 2 inch" has more decimals than its unit "Nos" keeps in TallyPrime (whole numbers only). TallyPrime would round the quantity and leave the amount as it is. Correct the quantity, or change the unit’s decimal places in TallyPrime.”
Where you see it: The result card on any form with items.
The quantity has more decimals than the item’s unit keeps in TallyPrime. TallyPrime would round the quantity but keep the amount. Then the rate would be wrong. Nothing was saved in TallyPrime.
- 1
Enter the quantity with no more decimals than the unit allows.
- 2
Or, in TallyPrime, go to Gateway of Tally > Alter > Unit, open the unit and raise its Number of decimal places.
- 3
Choose Fix and retry.
“TallyPrime has no cost for "Steel Pipe 2 inch" in "Main Location" on that date, so its value cannot move with it. Enter a rate for it.”
Where you see it: The result card on Inventory Management, tab Transfer.
A transfer line with no rate uses the item’s cost in the From godown on that date. This item has no stock or value there on that date. Nothing was saved in TallyPrime.
- 1
Enter the Rate on that line: the value per unit to move.
- 2
Choose Fix and retry.
“Invoice "INV-102" for "Sharma Traders" is already in TallyPrime as Sales 102 dated 12-10-2026. Nothing was added. Use the correct number, or check the existing entry in TallyPrime.”
Where you see it: The result card on a sales or purchase invoice; the entry’s row in Activity History.
A sales invoice number can be used once in its voucher type. A supplier bill number can be used once for that supplier. If not, TallyPrime would merge the two bills. The party named already has that number. Nothing was added in TallyPrime.
- 1
Open the entry named in the message in TallyPrime, for example in Day Book on that date.
- 2
If it is the same bill, do nothing. It is already saved.
- 3
If it is a different bill, correct the number. On a sale you can leave Invoice number empty so TallyPrime numbers it.
- 4
Choose Fix and retry.
“Credit Note Number "CN-15" already exists in TallyPrime: a Credit Note dated 05-Oct-2026 for "Sharma Traders" of 2,360.00. TallyPrime is set to prevent duplicate numbers, so nothing was recorded. Use a different number.”
Where you see it: The result card on a note, order, goods note, stock transfer or invoice.
The voucher type in TallyPrime does not allow the same number twice. The number you gave is already used. Balancely cannot change the old entry. Only TallyPrime can. Nothing was saved in TallyPrime.
- 1
Change the number to one not used yet, or leave it empty so TallyPrime numbers it.
- 2
Choose Fix and retry.
“Invoice Number "ST/2026-27/000102" is 17 characters. GSTR-1 allows up to 16 characters in an invoice number, so TallyPrime would list this invoice as uncertain. Use a number of 16 characters or fewer.”
Where you see it: The result card on a sales invoice or credit note.
The GST portal takes invoice and note numbers of up to 16 characters. A longer one would go under Uncertain Transactions in TallyPrime’s GSTR-1. Nothing was saved in TallyPrime.
- 1
Shorten the number to 16 characters or fewer, or leave it empty so TallyPrime numbers it.
- 2
Choose Fix and retry.
“The voucher type "Credit Note" is inactive in this company, so nothing was recorded. Activate it in TallyPrime (Alter → Voucher Type → "Credit Note").”
Where you see it: The result card on any voucher form.
The voucher type used is off, missing or of another kind in this company. It is the standard type, or the one chosen in Entry type or Invoice type. Nothing was saved in TallyPrime.
- 1
In TallyPrime, go to Gateway of Tally > Alter > Voucher Type, open the type named and make it active. If it is missing, create it under Create > Voucher Type.
- 2
Or open More options on the form and choose another Entry type or Invoice type from its list.
- 3
Choose Fix and retry.
“This company's books start on 01-Apr-2025; the entry is dated 15-Mar-2025.”
Where you see it: The result card, after “TallyPrime rejected this entry:”.
TallyPrime refused the date because it is before the day this company’s books begin. Nothing was saved in TallyPrime.
- 1
Check the date on the form. A wrong year is the usual slip.
- 2
Correct it and choose Fix and retry.
- 3
If the entry is truly before the books begin, change the books-beginning date in TallyPrime first. Ask whoever keeps the books before you do this.
“TallyPrime rejected this entry: …”
Where you see it: The result card on any form, and the entry’s row in Activity History.
TallyPrime refused the entry and gave its reason in its own words after the colon. It usually names a field, ledger, item or date. Usually nothing was saved in TallyPrime.
- 1
Read TallyPrime’s words after the colon.
- 2
Correct what they name, on the form or in TallyPrime.
- 3
Choose Fix and retry.
- 4
If it says TallyPrime did not say why, follow these checks. If it gives the books start date, see date outside the books.
“TallyPrime changed 2 records instead of 1, so this could not be confirmed. Check Day Book or the masters in TallyPrime before sending it again.”
Where you see it: The result card could not be confirmed on any form, and the entry in Activity History marked Not confirmed.
We could not be sure the entry was saved correctly. Something may be saved, so Balancely does not call it failed. Something may be in TallyPrime. Look before you save it again.
- 1
Open Day Book in TallyPrime for the entry’s date. For a ledger or item, open its list. See what is there.
- 2
If the entry is there once, nothing more is needed.
- 3
If it is not there, choose Fix and retry and save without changes. It is the same entry, so it is never added twice.
“TallyPrime rejected this entry and didn't say why. Check the date is inside the company's books, that every ledger, item and godown named in the entry exists in TallyPrime exactly as spelled, and that this voucher type is enabled in the company.”
Where you see it: The result card on a voucher form; the second wording on a ledger, item, unit, stock group or godown form.
TallyPrime saved nothing and gave no reason. For a voucher, the number is not repeated and the voucher type is on. Nothing was saved in TallyPrime.
- 1
Check the date is inside the company’s books period.
- 2
Check the voucher type is active in TallyPrime (Gateway of Tally > Alter > Voucher Type).
- 3
Choose each ledger, item and godown again from the lists on the form.
- 4
Choose Fix and retry.
- 5
If it still fails, tell us with the time you saved it.
“A ledger named "Sharma Traders" already exists in TallyPrime. Nothing was changed. Use a different name, or change the existing ledger with Change a ledger on the Ledgers & Parties page.”
Where you see it: The result card on Ledgers & Parties, tab New ledger.
TallyPrime already has a ledger with this name, or another ledger uses it as an alias. If it is an alias, the message names the other ledger. Nothing was changed in TallyPrime.
- 1
Use the existing ledger on your entries.
- 2
To change its details, use Ledgers & Parties, tab Change a ledger.
- 3
If it is a different party with the same name, give the new one a name of its own, for example with the city, and choose Fix and retry.
“An item named "Steel Pipe 2 inch" already exists in TallyPrime. Nothing was changed. Use a different name.”
Where you see it: The result card on Inventory Management, tab New item.
TallyPrime already has a stock item with this name. Balancely cannot change an existing item. Nothing was changed in TallyPrime.
- 1
Use the existing item on your entries.
- 2
To change its unit, HSN or GST rate, alter the item in TallyPrime (Gateway of Tally > Alter > Stock Item).
- 3
If it is a different product, give it a name of its own and choose Fix and retry.
“The unit "Kg" already exists in TallyPrime”
Where you see it: The green Unit already in TallyPrime card (or stock group, or godown).
Nothing new was made. TallyPrime already has one with this name, so Balancely uses it. Nothing new was created in TallyPrime.
- 1
Nothing to do. Use the existing one on your entries.
- 2
If you meant a separate one, give it a different name and save again.
“Invoice created in TallyPrime, but TallyPrime did not keep what you entered for: Place of Supply. Check that field in TallyPrime before relying on it.”
Where you see it: The green saved in TallyPrime card, and the entry in Activity History.
The entry is saved. But the fields named were saved differently in TallyPrime, or not saved. The entry is saved in TallyPrime.
- 1
Open the voucher or ledger in TallyPrime and look at each field named.
- 2
Correct it there with Alter. For a ledger you can also use Ledgers & Parties, tab Change a ledger.
- 3
Do not save the entry again as a new one. That would add a second voucher.
“"Steel Pipe 2 inch" takes its GST rate from the stock group or the company in TallyPrime, and that rate could not be read. Set the GST rate on the items in TallyPrime, or leave the GST ledgers empty.”
Where you see it: The result card on an invoice or note with GST ledgers chosen.
The item takes its GST rate from its stock group or the company. Balancely could not read that rate, so it cannot work out the tax. Nothing was saved in TallyPrime.
- 1
In TallyPrime, alter the stock item (Gateway of Tally > Alter > Stock Item) and give it its own GST rate.
- 2
Or, for an invoice without GST, clear CGST, SGST and IGST in the GST section.
- 3
Choose Fix and retry.
“GST can't be worked out because your company's State and GSTIN aren't set in TallyPrime. Set them in the company’s GST details in TallyPrime, or save this invoice without GST ledgers.”
Where you see it: The result card on an invoice or note with GST ledgers chosen.
To choose between IGST and CGST plus SGST, Balancely compares your company’s state with the party’s. One of them is missing or wrong in TallyPrime. Nothing was saved in TallyPrime.
- 1
For your company: in TallyPrime press F11 (Company features), make sure GST is on, and enter the company’s State and GSTIN in its GST details.
- 2
For the party: correct the GSTIN on Ledgers & Parties, tab Change a ledger, or choose Place of supply in the GST section.
- 3
For an invoice without GST, clear the GST ledgers instead.
- 4
Choose Fix and retry.
“This is an inter-state sale, so it needs IGST. Choose an IGST ledger in the GST section.”
Where you see it: The result card on a sales or purchase invoice or a note.
Some GST ledgers were chosen, but not the right ones. Another state needs IGST. Your own state needs both CGST and SGST. Nothing was saved in TallyPrime.
- 1
Open the GST section and choose the missing ledger. Use these adds the ones found in TallyPrime.
- 2
If the state was wrong, check Place of supply, or the party’s State on its ledger.
- 3
Choose Fix and retry.
“TallyPrime lists this invoice under Uncertain Transactions in its GSTR-1, so it is not counted in the return yet.”
Where you see it: The green saved in TallyPrime card on a sales or purchase invoice or a credit note, and the entry in Activity History.
The entry is saved. But TallyPrime’s own GSTR-1 (for a sale) or GSTR-3B (for a purchase) cannot place it yet. The message gives the likely reason and the fix. A typing slip in the party’s GSTIN is a common cause. The entry is saved in TallyPrime.
- 1
Read the likely reason in the message.
- 2
Fix what it names. It may be the party’s GSTIN or State, the item’s GST rate or HSN, or the unit’s UQC. It may be the sales ledger’s HSN, a charge ledger’s GST rate and HSN/SAC (such as freight), or the voucher numbering. Change a ledger with Change a ledger on the Ledgers & Parties page.
- 3
In TallyPrime, open GSTR-1 (or GSTR-3B for a purchase), go to Uncertain Transactions, choose the entry and fix it there.
- 4
Do not enter it again as a new entry.
Next time: Give every item its GST rate, HSN and a unit with a UQC. Give every charge ledger its own GST rate and HSN/SAC. See uncertain sales in TallyPrime’s own GSTR-1.
“Unit "Pkt" has no GST unit code, so TallyPrime shows this invoice as Uncertain in GSTR-1.”
Where you see it: The green saved in TallyPrime card on a sales invoice, or on a credit or debit note to a customer.
TallyPrime’s GSTR-1 needs a GST unit code (UQC) on every unit an invoice uses. Without one, the invoice goes under Uncertain Transactions and is left out of the return. When a unit’s name clearly means a code, such as Nos or Kg, Balancely adds the code as it saves. Other units stay as they are until you add the code. The invoice is saved in TallyPrime. The unit stays as it is until you add the code.
- 1
Choose Add GST unit code on the card. If no code is suggested, first choose the one that fits, such as NOS-NUMBERS or KGS-KILOGRAMS.
- 2
Or open Inventory Management, tab GST unit code, choose the unit and save.
- 3
New invoices using that unit then count in GSTR-1.
- 4
The invoice already saved stays uncertain in TallyPrime. Open GSTR-1 there, go to Uncertain Transactions, choose the invoice and fix it there.
It worked when: The next invoice using the unit saves without this message.
Next time: For a unit with an uncommon name, add its code under Inventory Management, tab GST unit code, before you invoice with it.
“HSN or SAC must be 4 to 8 digits. Check the code.”
Where you see it: Red text under the HSN field on a note, Ledgers & Parties or Inventory Management, tab New item; the same check on the result card.
An HSN or SAC code must be 4 to 8 digits, with no letters or spaces. Nothing was saved in TallyPrime.
- 1
Enter digits only, 4 to 8 of them.
- 2
Save again.
“This was already saved in TallyPrime. Nothing new was added.”
Where you see it: The green already in TallyPrime card, and the entry in Activity History.
The same entry was saved again after TallyPrime already had it. For example, with Fix and retry after a lost answer. Balancely showed the first result and saved nothing new. Nothing new was added. There is one voucher in TallyPrime.
- 1
Nothing to do.
- 2
To be sure, look in Day Book in TallyPrime. The voucher is there once.
A receipt, payment or journal went into TallyPrime twice
Where you see it: Two vouchers in TallyPrime, and two Saved rows in Activity History.
Balancely checks only sales invoice and supplier bill numbers for repeats. A receipt, payment, journal or transfer entered again is a new voucher. This happens with Create another or Start over. Both vouchers are saved in TallyPrime.
- 1
In Accounts > Activity History, search by the party to find both entries.
- 2
Open the extra one and choose Cancel entry. It stays in the books, struck out, with no amount.
Next time: Check Activity History before you enter a receipt or payment again.
“The godown "Shop 2" doesn't exist in TallyPrime. Choose one of: Main Location, Shop, Warehouse.”
Where you see it: The result card on an invoice, note, order, stock transfer or stock count.
The godown entered is not one of this company’s godowns in TallyPrime. Nothing was saved in TallyPrime.
- 1
Choose the godown from the Godown list. Choose Refresh if it was just added in TallyPrime.
- 2
If it is missing, add it on Inventory Management, tab New godown.
- 3
Choose Fix and retry.
“The group "Sundry Debtor" doesn't exist in TallyPrime. Choose one of the groups in your company.”
Where you see it: The result card on Ledgers & Parties, tab New ledger or Change a ledger.
The group chosen for the ledger is not one of TallyPrime’s own groups, and not one made in this company. Nothing was saved in TallyPrime.
- 1
Choose the group from the Group list (or Move to group).
- 2
For a new group, create it in TallyPrime under Gateway of Tally > Create > Group. Balancely cannot create accounting groups. Then choose Refresh on the list.
- 3
Choose Fix and retry.
“A contra entry moves money between bank and cash accounts, but "Sharma Traders" is under "Sundry Debtors". Use Create Payment or Create Receipt for other ledgers.”
Where you see it: The result card on Bank & Cash Transfers; the second wording in red under To.
A bank and cash transfer is only between two of your own bank or cash ledgers. “Create Payment or Create Receipt” means the Payments and Receipts forms. Nothing was saved in TallyPrime.
- 1
For money from or to a party, an expense or an income, use Receipts or Payments instead.
- 2
For a real transfer, choose two different bank or cash ledgers from the lists.
“No outstanding bill named "INV-102" was found for "Sharma Traders". Choose one of the party’s pending bills.”
Where you see it: The result card on a receipt, payment or note; the form’s own wording next to the ticked bill.
The bill is no longer pending for this party, or less is pending than you entered. It may have been settled or changed in TallyPrime after the list opened. Nothing was saved in TallyPrime.
- 1
Choose the party again so its current pending bills load.
- 2
Tick the right bill and enter no more than its pending amount. On a note, you can clear Against invoice or Against bill to record it on account.
- 3
Choose Fix and retry.
“"Labour charges" has no unit in TallyPrime — set a unit for this item in TallyPrime.”
Where you see it: The result card on any form with items.
The stock item has no unit in TallyPrime. Item lines in Balancely have no unit box. So set the unit in TallyPrime. Nothing was saved in TallyPrime.
- 1
In TallyPrime, alter the stock item (Gateway of Tally > Alter > Stock Item) and set its Units.
- 2
Choose Fix and retry.
“If this TallyPrime is the Educational edition: there a voucher can only be dated the 1st, 2nd or 31st of a month; this entry is dated 15-Oct-2026.”
Where you see it: The result card, after “TallyPrime rejected this entry:”.
TallyPrime said the date is missing. TallyPrime Educational says this for any day except the 1st, 2nd or 31st. Balancely does not know your edition, so it names this as a possible cause. On a licensed TallyPrime, check the date on the form. Nothing was saved in TallyPrime.
- 1
If you are trying Balancely on TallyPrime Educational, use a date on the 1st, 2nd or 31st.
- 2
For real books, use a licensed TallyPrime.
- 3
Choose Fix and retry.
“TallyPrime rejected this entry: another unit already uses that formal name - formal names must be unique.”
Where you see it: Inventory Management, tab New unit: red text under the field, or the result card.
TallyPrime has rules for units: the symbol is letters only, and the formal name is letters and spaces that no other unit already uses. Nothing was saved in TallyPrime.
- 1
Use a symbol of letters only, up to 10, such as Kg or Box.
- 2
Use a formal name of letters and spaces, such as Kilograms, that no other unit uses.
- 3
Save again.
“TallyPrime rejected this entry: Duplicate Entry!”
Where you see it: The result card on Ledgers & Parties, tab Change a ledger (when renaming) or New ledger.
Another ledger in TallyPrime already uses this name, as its own name or as an alias. Nothing was saved in TallyPrime.
- 1
Choose a name that no other ledger uses as a name or alias.
- 2
Or, in TallyPrime, remove that alias from the other ledger.
- 3
Choose Fix and retry.
“This entry was already recorded in TallyPrime as No. 102 with the details first sent. Your changes were not applied and nothing new was saved. Check that entry in TallyPrime. To add a different one, send it as a new entry.”
Where you see it: The green already in TallyPrime card after Fix and retry, and the entry in Activity History.
Fix and retry saves the same entry. TallyPrime already had it from an earlier try whose answer was lost. Changes you made on the retry were not used. TallyPrime has the first version of the entry. Nothing new was saved.
- 1
Open the voucher named in TallyPrime and check it.
- 2
If your corrections matter, alter the voucher in TallyPrime.
- 3
Or open it in Activity History, choose Cancel entry, and enter it again as a new entry.
“This entry was already saved in TallyPrime, so there is nothing to retry.”
Where you see it: The red This was not saved box above Save in TallyPrime.
The entry changed after you opened this page. It was saved, or is being saved again, or its details were removed after 14 days. Nothing new was saved in TallyPrime.
- 1
Reload the page.
- 2
Look up the entry in Accounts > Activity History to see its status.
- 3
If it shows Saved, there is nothing to do.
- 4
If its details are no longer kept, enter it again on a new form.
“"Steel Pipe 2 inch" is listed twice. Enter its whole count on one line.”
Where you see it: The result card on Inventory Management, tab Stock count; red text under the item on the form.
A stock count sets each item to one quantity. Two lines for one item would leave TallyPrime guessing. Nothing was saved in TallyPrime.
- 1
Add the two quantities together and enter the total on one line.
- 2
Remove the other line.
- 3
Choose Fix and retry.
Next time: See correct stock after a count.
“Quantity cannot be below zero for "Steel Pipe 2 inch".”
Where you see it: The result card on Inventory Management, tab Stock count; red text under Counted on the form.
A count is what is on the shelf. It can be 0, but never less. Enter the quantity you found, not the shortage. Nothing was saved in TallyPrime.
- 1
Enter the quantity you counted. If none are left, enter 0.
- 2
Choose Fix and retry.
Next time: See correct stock after a count.

Common questions
Can I create a sales invoice in Tally online?
Yes. Open Accounts and choose Sales Invoices. Enter the customer, sales ledger and items, and press Save in TallyPrime. That company must be open in TallyPrime on the computer with the connector.
Do I need to sit at the Tally computer to post vouchers?
No. You can work from any browser. The connector and TallyPrime must be running on that computer, with the right company open.
Will the entry go into Tally twice if I click save again?
No. A repeated save gives the first result. Fixing a failed entry saves the same entry again, not a new one. A receipt or payment entered again as a new entry is a new voucher.
Does it calculate GST on the invoice?
Yes, once you choose your GST ledgers in the GST section. TallyPrime works out the tax from each item’s GST rate and the party’s state.
What if the party or stock item is not in TallyPrime?
The save fails and nothing is added. Add it on the Ledgers & Parties or Inventory Management page. Then save the entry again.
How do I cancel a voucher I posted by mistake?
Open it in Activity History and choose Cancel entry. It stays in the books, struck out, with no amount.
