Bank reconciliation (BRS) in TallyPrime

Match a bank statement with the bank ledger in TallyPrime, set the bank dates TallyPrime's own Bank Reconciliation reads, and prove the balance against the statement.

Updated 31 October 2026

The Bank Reconciliation screen reads the statement you download from net banking. It matches each line with an entry on the bank ledger in TallyPrime. When you confirm, it sets the bank date on those entries in TallyPrime. TallyPrime's own Banking, Bank Reconciliation report then shows the same result. The summary uses the figures in TallyPrime and checks them against the statement's closing balance.

Before you start

  • The Balancely Connector is running. Your company is open in TallyPrime.

  • The bank is a ledger under Bank Accounts or Bank OD A/c.

  • You have the statement from net banking as Excel, CSV or PDF. Is the bank's layout new? Open it once on the Bank Statement Import page to match its columns. This page then uses that layout.

  • Bank Reconciliation comes with every paid plan. On the Free plan, the page says so and changes nothing.

  • Owner, Admin and Accountant roles can set bank dates.

Upload the statement

  1. 1

In Balancely, open Accounts, then Bank Reconciliation. Choose the company at the top.

  2. 2

Under Bank ledger in TallyPrime, choose the bank ledger this statement is for.

  3. 3

Drop the file on Upload your bank statement. Balancely also looks at the six months before the statement. This finds cheques not yet presented.

  4. 4

Check As on. It starts at the statement's last date. The summary is worked out as on that day.

How lines are matched

Lines are matched by cheque number or UTR, by amount and party, or by amount alone. Sure matches are ticked for you. Others wait under Check these.

HowWhat must agreeTicked for you
Saved from this statementThe line was saved in TallyPrime from a statement in Balancely.Yes
Cheque number or UTRThe same amount, and the same cheque number or UTR.Yes
Amount and partyThe same amount, and the party name fits.Yes
Same amountOnly the amount. No, shown under Check these
Several entriesOne deposit of up to six cheques, or one entry the bank credited in parts. No, shown under Check these

The tabs

TabWhat it meansWhat to do
MatchedA sure match, ticked.Untick any that is wrong.
Check theseA suggestion, a group, or a line with more than one entry that fits. Not ticked.Where there is a choice, choose the right entry in the list. Then tick it.
Only in booksAn entry in TallyPrime, dated on or before the as-on date, that is not on the statement. For example, a cheque not yet presented, or a deposit not yet credited.Nothing. It is in the summary as TallyPrime shows it.
Only in bankA statement line with no entry in TallyPrime. For example, interest, charges, or a receipt not yet entered.Tick them and choose Save lines. They are saved with the statement date as their bank date.
Already reconciledTallyPrime already has a bank date for it.Check any marked with a different date on the statement.
A Possible duplicate note means two entries in TallyPrime have the same amount and reference, or the same party within 3 days. But the statement shows the money once. Match one of them. Check the other in TallyPrime.

Set the bank dates

Choose Set with the count, for example Set 18 bank dates in TallyPrime. Only the bank date is set. If the bank line has no cheque number or UTR, it also gets the statement's reference. If an entry changed in TallyPrime since you looked, it is left alone and marked Not set. If anything else changes, we tell you at once.

Up to 200 are set at a time. If the connector or TallyPrime stops answering, the rest wait. Nothing is set twice when you try again. TallyPrime's edit log shows each change.

Undo a bank date

Under Bank dates set from here, tick the entries and choose Undo bank dates. Each goes back to unreconciled in TallyPrime. Nothing else on it changes. You can undo a bank date for 180 days.

The summary

LineWhat it is
Balance as per company booksThe bank ledger's balance in TallyPrime as on the as-on date. Dr is money in the bank.
Less: deposits not yet credited by the bankMoney in, dated on or before the as-on date, with no bank date by then.
Add: cheques issued, not yet presentedMoney out, dated on or before the as-on date, with no bank date by then.
Balance as per bank, worked outThe figure TallyPrime's own Bank Reconciliation shows as Balance as per Bank.
Entries only in the bankStatement lines not in TallyPrime: credits add, debits take away.
Closing balance on the statementThe last balance in the file.
DifferenceShould be 0.00. If not, look for a line not matched, a statement that does not add up, or an old entry from before the statement still open.

Before you set them, the summary shows what TallyPrime will show once the ticked bank dates are set. After that, it shows TallyPrime's own figures.

What happens in TallyPrime

  • The bank date is set on the bank ledger's line of each entry, the same as Banking, Bank Reconciliation does. No amount, ledger, date or bill changes.

  • Some entries are left for you to reconcile in TallyPrime. These have stock lines, more than one line on the bank ledger, or a payment split over several cheques. The page says which.

  • A bank date cannot be before the entry's own date. Fix the entry date in TallyPrime first.

  • Receipts and payments saved from a bank statement in Balancely have their cheque number or UTR and the statement date. So they are already reconciled when saved.

  • Setting a bank date is not an entry. It does not count towards your plan. Lines saved from the Only in bank tab are entries and count as usual.

When something goes wrong

Each heading is the message as Balancely shows it. Find yours, or search every message on Fix a problem.

“Does not agree”

Where you see it: Accounts > Bank Reconciliation, Match & set dates step, the summary card, when Difference is not 0.00.

Balancely works out the bank balance from TallyPrime and adds the lines only in the bank. That total is not the statement's closing balance. Often some lines are not matched or saved yet. Or the statement is not complete, or an older entry is still open. Nothing is changed in TallyPrime until you choose Set bank dates in TallyPrime.

  1. 1

Tick the right lines under Matched and Check these. The summary changes as you tick.

  2. 2

Save the lines under Only in bank that are not in TallyPrime yet, such as bank charges and interest.

  3. 3

If a yellow box says the statement's balances do not add up, download the full period again first.

  4. 4

Check that As on is the statement's last date.

  5. 5

If a cheque or deposit from more than six months before the statement is still open, see older cheques are missing.

It worked when: The summary shows Difference 0.00 and Agrees with the statement.

Next time: Reconcile every month with the full month's statement. Then nothing old is left open.

An older cheque or deposit is missing, or shows under Only in bank

Where you see it: Accounts > Bank Reconciliation, Match & set dates step: an old entry is not under Only in books, or its clearing shows under Only in bank.

Balancely also shows entries from up to six months before the statement starts that the bank had not cleared yet. So a cheque or deposit from those months shows under Only in books and gets matched. An entry older than six months is left out of the summary. Nothing was changed in TallyPrime.

  1. 1

Do not save that line from Only in bank. The entry is already in TallyPrime, so saving it would enter it twice.

  2. 2

Download a statement that starts within six months of the older entry's date. Upload it instead. Then the older entry is read and matched.

  3. 3

Or set its bank date in TallyPrime yourself: Gateway of Tally > Banking > Bank Reconciliation. Choose the bank ledger, enter the Bank Date on that entry and save with Ctrl + A.

  4. 4

    Choose Read again.

It worked when: The older entry is matched, or no longer open, and Difference is 0.00.

Next time: Upload a statement that starts from your last reconciled date.

“No bank ledger found in TallyPrime. Add one under Bank Accounts in TallyPrime.”

Where you see it: Accounts > Bank Reconciliation, Upload step, under Bank ledger in TallyPrime or in the blue box Choose the bank account.

The file was dropped before a bank ledger was chosen: it waits, and is read once you choose one. Or the company has no ledger under Bank Accounts or Bank OD A/c. This page does not list credit card ledgers. Nothing was read or changed in TallyPrime.

  1. 1

If the ledgers could not be read, start the connector, open the company in TallyPrime and choose Try again.

  2. 2

If there is no bank ledger, create one in TallyPrime under Bank Accounts (or Bank OD A/c), then reload the page.

  3. 3

Choose the ledger in the Bank box. A file you already dropped is read straight away.

It worked when: The page moves on to Match & set dates and shows your entries from TallyPrime.

“This file could not be read”

Where you see it: Accounts > Bank Reconciliation, Upload step, red box under the drop zone.

The statement file could not be opened. The text under the title says why. It is too large, has a password, or is a PDF whose text cannot be read. Nothing was read or changed in TallyPrime.

  1. 1

Download the statement from net banking as Excel or CSV. Then none of these messages show.

  2. 2

For a PDF with a password, see the password steps.

  3. 3

For an Excel file with a password, see removing an Excel password. For no sheet we can read, open the file in Excel and save it as .xlsx.

  4. 4

For a file over 10 MB, download a shorter period, such as one month.

  5. 5

    Upload the new file.

It worked when: The page moves on to Match & set dates.

“No transactions found in this file. If it has some, open it once on the Bank Statement Import page. Set the columns and date format there. This page then uses them.”

Where you see it: Accounts > Bank Reconciliation, Upload step, in the red box This file could not be read.

You cannot set columns on this page. It uses the layout saved on the Bank Statement Import page for this bank ledger, or its own guess. No transactions means the columns or date format were guessed wrong. No heading row means the file has no row of column names. So it is not the statement file, and the Bank statement page cannot read it either. Nothing was read or changed in TallyPrime.

  1. 1

Open Accounts > Bank Statement Import, choose the same bank ledger and drop the same file.

  2. 2

On Map & check, set the columns and Dates are written until the lines show and the statement adds up.

  3. 3

Choose Check against TallyPrime. This saves the layout. You do not have to save any entry.

  4. 4

Go back to Accounts > Bank Reconciliation and drop the file again.

  5. 5

For No heading row, download the statement from net banking as Excel or CSV, not an account summary. Upload that instead.

It worked when: The page moves on to Match & set dates with the statement period in its title.

“This PDF is a scanned image; download the Excel or CSV statement from net banking instead.”

Where you see it: Accounts > Bank Reconciliation, Upload step, in the red box This file could not be read.

The PDF is only pictures of the pages, with no text. Bank Reconciliation reads only files with text. It does not read scans with AI. Nothing was read or changed in TallyPrime.

  1. 1

Download the statement for the same period from net banking as Excel, CSV or a normal PDF.

  2. 2

    Upload that file here.

  3. 3

If you have only a paper statement, set the bank dates by hand in TallyPrime: Gateway of Tally > Banking > Bank Reconciliation.

Next time: You can still save a scan or photo on Bank Statement Import. Entries saved there get their bank date set.

“The statement's balances do not add up”

Where you see it: Accounts > Bank Reconciliation, Match & set dates step, yellow box above the tabs.

Each line's balance should follow from the line before. Here it does not. A page may be missing, or the columns were read wrongly. So the difference in the summary may be wrong. Nothing was changed in TallyPrime. You can still match and set bank dates.

  1. 1

Download the statement again for the whole period, with no pages missing.

  2. 2

If the new file still shows this, open it on Accounts > Bank Statement Import. Check the Withdrawal, Deposit and Balance columns there.

  3. 3

Choose Check against TallyPrime on that page to save the corrected layout.

  4. 4

Upload the file again on Bank Reconciliation.

It worked when: The yellow box is gone.

“TallyPrime could not be read”

Where you see it: Accounts > Bank Reconciliation, Match & set dates step, in place of the tabs, with Try again.

Balancely could not get your bank ledger from TallyPrime. The text under the title gives the reason. Nothing was changed.

  1. 1

Make sure the connector is running and TallyPrime has this company open, with no message box open.

  2. 2

If the ledger is not under Bank Accounts, choose one that is. Or change its group in TallyPrime.

  3. 3

If the as-on date is after the books period, set As on to a date inside your books.

  4. 4

If other reads are still going on, wait a minute for other Balancely tabs to finish.

  5. 5

    Choose Try again.

It worked when: The tabs and the summary appear.

Next time: See Connector and TallyPrime for each connector message.

“Payment 245 dated 05/10/2026 changed in TallyPrime since you reviewed it, so its bank date was not set. Choose Read again, check the entry, and confirm it once more.”

Where you see it: Accounts > Bank Reconciliation, under the match in Matched or Check these marked Not set, or in the red box after Undo.

The entry changed in TallyPrime after you looked at it, so it was not touched. The message says what changed. Its bank amount may no longer match. Or it was deleted, cancelled or made optional in TallyPrime. Nothing was changed on this entry.

  1. 1

Choose Read again so the page has TallyPrime's latest entries.

  2. 2

Look at the match again. The amount or date may have changed.

  3. 3

If it is still right, tick it and choose Set bank dates in TallyPrime again.

  4. 4

If the entry was deleted, cancelled or made optional, there is nothing to set. The line moves to Only in bank.

It worked when: The entry shows under Already reconciled after the next read.

“Receipt 18 dated 02/10/2026: it is split over 2 instruments. Set its bank date in TallyPrime (Banking, Bank Reconciliation). Nothing was changed.”

Where you see it: Accounts > Bank Reconciliation, under the match, marked Not set.

This entry is safer to change in TallyPrime, so Balancely does not touch it. Share its number is not a mistake in your books. Each voucher type has its own numbers, such as Receipt 5 and Payment 5 on the same day. But TallyPrime cannot tell which entry to change when two share a number and date. Nothing was changed on this entry.

  1. 1

In TallyPrime, go to Gateway of Tally > Banking > Bank Reconciliation and choose the bank ledger.

  2. 2

Find the entry named in the message.

  3. 3

Enter the date from the bank statement in its Bank Date column. Save with Ctrl + A.

  4. 4

Back in Balancely, choose Read again.

  5. 5

Optional, for no voucher number or share its number: give the voucher its own number in TallyPrime. Next time Balancely can set its date.

It worked when: The entry shows under Already reconciled.

“The bank shows Payment 245 dated 05/10/2026 on 03/10/2026, before its entry date. Correct the entry date in TallyPrime first.”

Where you see it: Accounts > Bank Reconciliation, under the match, marked Not set.

TallyPrime does not allow a bank date before the entry's own date. This may also be a wrong match. Nothing was changed on this entry.

  1. 1

Check that the match is right. If it is not, untick it.

  2. 2

If it is right, open the entry in TallyPrime and change its date to the bank date or earlier.

  3. 3

    Choose Read again in Balancely.

  4. 4

Tick the match and choose Set bank dates in TallyPrime.

It worked when: The entry shows Saved, then Already reconciled after reading again.

“Waiting”

Where you see it: Accounts > Bank Reconciliation, beside the matches after Set bank dates in TallyPrime, with the reason under each.

The connector or TallyPrime stopped answering halfway. So the other entries did not get their bank date. Entries marked Saved have their bank date. Entries marked Waiting were not changed.

  1. 1

Start the connector and open the company in TallyPrime. Close any message box there.

  2. 2

    Choose Read again.

  3. 3

Tick the other matches and choose Set bank dates in TallyPrime again. Entries already done show Already set. Nothing is set twice.

It worked when: No entry shows Waiting and the summary updates.

“Possible duplicate entry in TallyPrime”

Where you see it: Accounts > Bank Reconciliation, Match & set dates step: yellow box above the tabs, the Possible duplicate label under Only in books, or a date label under Already reconciled.

Two entries in TallyPrime look like the same money, but the bank shows it once. One may be entered twice. Under Already reconciled, the label means TallyPrime's bank date is not the statement date. Nothing was changed in TallyPrime.

  1. 1

Open both entries in TallyPrime and compare them with your records.

  2. 2

If one is a real duplicate, delete or cancel it in TallyPrime.

  3. 3

Match the right one here, and choose Read again.

  4. 4

For a different bank date, correct it in TallyPrime's Banking > Bank Reconciliation. This page sets dates only on entries with no bank date.

It worked when: The yellow box is gone after reading again.

“You can only view this. An accountant or admin sets the bank dates.”

Where you see it: Accounts > Bank Reconciliation, Match & set dates step, grey text beside the greyed-out Set bank dates in TallyPrime button.

Your team role can see the matches, but cannot change TallyPrime. Nothing was changed.

  1. 1

Ask the owner or an admin to set the bank dates.

  2. 2

Or ask them to change your role to Accountant. See Team and roles.

  3. 3

When they are done, choose Read again. The entries show under Already reconciled.

“TallyPrime changed more than the bank date on Receipt 18 dated 02/10/2026: Narration. Open it in TallyPrime and check it; undo the bank date here if needed.”

Where you see it: Accounts > Bank Reconciliation, under the match, marked Not set.

Something else on the entry changed too. The message says what, such as the narration or its ledger amounts or bill details. TallyPrime may have saved the bank date and the other change on this entry.

  1. 1

Open the entry in TallyPrime and compare it with your records. If your TallyPrime keeps an edit log, it shows what changed.

  2. 2

Correct anything that changed by hand in TallyPrime.

  3. 3

This entry is not under Bank dates set from here. If its bank date is wrong, clear it in Gateway of Tally > Banking > Bank Reconciliation.

  4. 4

Choose Read again, then tell us the entry and the message.

“TallyPrime made a new entry (Payment 312) instead of setting the bank date on Payment 245 dated 05/10/2026. Delete that new entry in TallyPrime before reconciling again, and tell us so we can look into it.”

Where you see it: Accounts > Bank Reconciliation, under the match, marked Not set. The rest of the batch shows Waiting.

TallyPrime made a second voucher instead of changing the old one. Balancely stopped at once, so no more were made. A new, unwanted entry is in TallyPrime. The first entry was not changed.

  1. 1

Open the Day Book in TallyPrime and find the new entry named in brackets.

  2. 2

Open it and delete it with Alt + D.

  3. 3

Set the bank date on the first entry in Gateway of Tally > Banking > Bank Reconciliation.

  4. 4

Tell us the entry details so we can find the cause.

  5. 5

Choose Read again, then set the rest.

“That did not go through. Try again.”

Where you see it: Accounts > Bank Reconciliation, the Undo window, or a red box above the tabs after Undo.

The bank date could not be removed. The red box gives the reason for each entry. For example, the entry changed in TallyPrime, or the connector did not answer. The bank dates named in the message are still set in TallyPrime.

  1. 1

    Choose Read again.

  2. 2

Under Bank dates set from here, choose the entry and choose Undo again.

  3. 3

If it fails again, clear the bank date in TallyPrime: Gateway of Tally > Banking > Bank Reconciliation, delete the Bank Date on that entry and save.

It worked when: The entry no longer shows under Already reconciled.

Common questions

How do I do bank reconciliation in Tally online?

Download the bank statement. Open Bank Reconciliation in Balancely, choose the bank ledger and upload the file. Confirm the matches and set the bank dates. TallyPrime's own BRS then shows the same result.

Does it work with my bank?

It reads any bank's Excel, CSV or text PDF statement. You match a new layout once on the Bank Statement Import page, and it is remembered.

Can it match a cheque deposit of several cheques?

Yes. One deposit line that equals two to six entries is shown as a group. So is one entry the bank credited in parts. You confirm each group.

What if I set a wrong bank date?

Tick it under Bank dates set from here and choose Undo bank dates. The entry goes back to unreconciled in TallyPrime.

Will it change my entries?

Only the bank date on the bank line, and an instrument number where the line had none. If anything else changed, we tell you.

Does bank reconciliation count towards my plan?

No. Matching and setting bank dates are free on every paid plan. Only entries saved in TallyPrime count.
